Position: Noblesville Schools Education Foundation – Administrative Coordinator

Location: Hamilton County, IN

Reports To: Noblesville Schools Education Foundation CEO & President

Noblesville Schools Education Foundation Overview:

The purpose of Noblesville Schools Education Foundation (NSEF) is to promote and invest in Noblesville Schools through grants, scholarships, strategic partnerships, and volunteer support. This proud nonprofit organization is the philanthropic arm supporting all ten Noblesville Schools. NSEF was established in 1987 to fundraise and invest in academic excellence throughout the district. It continues to grow because of strong community partnerships and committed volunteers. NSEF is governed by a board of directors consisting of Noblesville Schools leadership, corporate partners, and parent volunteers. NSEF currently employs a president/CEO and a grants manager. Position Summary:

The NSEF Administrative Coordinator is an important, mission driven position for the Foundation. This position’s primary responsibility is to work alongside the NSEF staff to further the vision and growth of NSEF. This individual’s main focus will be managing thank you notes and receipts, Quickbooks, reconciling accounts, facilitating gaming paperwork, managing the scholarship program payouts, being the point administrator to OneCause online giving software, and managing our grants payments. This position will also support fundraising operations of NSEF through event and spreadsheet management.

Desired Knowledge & Skills:

  • Associate or bachelor’s degree.
  • Experience with non profit organizations.
  • Experience with technology, software management, Quickbooks and other administrative duties.
  • Experience with budget and accounting management.
  • Strong written and verbal communication skills.
  • Strong level of abilities in Word and Excel.
  • Experience with community relationships.
  • High level of personal initiative and integrity.
  • Commitment to working with faculty, staff, and students, as well as diverse community groups.
  • Ability to successfully manage organizational details and deadlines.

 

Essential Functions of Position:

  • Conduct administrative duties such as:
    • Donor stewardship (receipts, thank you notes, data input in Bloomerang software),
    • Working within our accounting software Quickbooks,
    • Reconciling accounts,
    • Accounts payable,
    • Supporting management of our NSEF/Noblesville High School scholarship program (Excel spreadsheets, acquisition and coordination of applications between NSEF and NHS counseling staff, scholarship payouts, ),
    • Silent auction software management (OneCause) for Miller-Palooza and additional NSEF special events,
    • Facilitating grant payments (check cutting and account management),
    • Prepping NSEF Board packet materials before monthly meetings,
    • Strong organizational skills and administrative management

  • Support NSEF fundraising efforts and volunteers when
  • Confidentiality and integrity are required with all donors and Foundation
  • Perform related duties as assigned by NSEF

Position Salary and Benefits:

The NSEF administrative coordinator is a salaried, part-time position with a flexible work week of 10 hours. Position is mostly remote with a bi-weekly check-in expectation with the president & CEO. Certain months/events have a higher volume of work and will work alongside the Noblesville Schools calendar. NSEF is offering unlimited vacation and sick days.

The candidate would not be a Noblesville Schools official employee and would not have access to Noblesville Schools employee benefits. NSEF is a separate not for profit organization with a mission to support Noblesville Schools. A full background check and employee training through Noblesville School will be required.

Annual salary will range between $12,000-14,000 depending on experience. All staff employees new to NSEF will serve and successfully complete an initial ninety-day probationary period that allows both supervisor and employee to assess the working relationship, performance, and overall fit with the organization.
